What wedding printing actually costs
Every wedding is quoted individually, but nobody plans a budget from “it depends.” These are the real anchors we quote from, so you can sanity-check the numbers before we ever talk.
~$5,000
Staffed live station, local
The starting point for a fully staffed station at an Orange County, LA, or San Diego wedding: equipment, crew, transfers, and event-window printing. Product costs ride on top and depend on what and how many we press.
$250/hr
Staffing
Crew time covers load-in, the live window, breaks, and teardown — billed honestly, no separate “setup fee” surprise. A typical welcome party runs a 5–6 hour crew day for a 3-hour guest window.
$900
Travel beyond SoCal
Weddings outside the Orange County / Los Angeles / San Diego area add a flat $900 travel fee — Las Vegas included. True fly-out weddings are quoted with freight and lodging spelled out line by line.
How the quote moves
Five inputs decide the number
- Guest count & quantities. 100 totes and 250 totes are different print runs, but not 2.5× the price — blanks and press time scale, art and setup do not.
- The pieces themselves. A canvas tote, a Bella+Canvas 3001 tee, a Richardson 112 hat with a leatherette patch, and an engraved token each carry their own blank cost.
- Live vs. pre-made. Pre-produced pieces cost less per unit; live stations buy you the show. Most weddings blend both — totes made ahead, shirts pressed live.
- Hours on site. A 2-hour favor table and a 5-hour welcome-party-to-after-party marathon staff very differently at $250/hr.
- Location. Local SoCal weddings skip travel entirely; Las Vegas adds the flat $900; destination weddings get a written travel plan.
Budget sketches
Three honest ballparks
Wedding-party only. Two dozen embroidered or pressed pieces — robes, getting-ready tees, totes — produced ahead and delivered. Usually well under the live-station threshold; quoted per piece.
Welcome party, 150 guests. Pre-pressed welcome totes plus a two-design live tote-or-tee station for three hours. Plan around the $5,000 station anchor plus blanks.
Full weekend, 250 guests. Welcome totes ahead, after-party shirt bar with two presses, favor stickers at every place setting. The station anchor, a longer crew day, and a bigger blank order — we will put every line in writing.
The quote you receive lists products, quantities, crew hours, and travel as separate lines. If a line does not earn its place, we will tell you which one to cut.
